This Volunteer Agreement (“Agreement”) is made between Across Aid Limited (“we”,“us” or “our”) and the undersigned volunteer (“you” or “your”). This Agreement outlines the roles, responsibilities, and expectations of both parties to ensure a positive and productive volunteering experience.

Introduction

  1. Purpose of the Agreement:This Agreement is intended to clarify the relationship between Across Aid Limited and you as a volunteer. It is not intended to be legally binding, nor does it create an employment relationship.
  1. Volunteer Role:As a volunteer, you agree to provide your services on a voluntary basis and without any financial compensation. Your role and duties will be agreed upon before you begin your volunteer work and will be detailed in a Volunteer Role Description, provided separately.

Responsibilities of Across Aid Limited

  1. Induction and Training:We will provide you with an induction to familiarise you with our organisation, your volunteer role, and any necessary training to enable you to carry out your duties effectively.
  1. Support and Supervision: We will provide appropriate support and supervision throughout your time as a volunteer. You will be assigned a supervisor who will be your main point of contact.
  1. Health and Safety: We are committed to ensuring your health, safety, and well-being while you are volunteering with us. We will provide you with a safe working environment and inform you of any relevant health and safety policies.
  1. Insurance:We will provide insurance cover for volunteers while they are carrying out their agreed duties, as long as they adhere to our policies and procedures.
  • Expenses:We will reimburse reasonable out-of-pocket expenses incurred during your volunteering activities, provided they are pre-approved by your supervisor and supported by receipts.
  • Equal Opportunities: We are committed to equal opportunities and will not discriminate against volunteers on the basis of race, ethnicity, gender, sexual orientation, religion, age, or disability.

Responsibilities of the Volunteer

  1. Commitment: You agree to volunteer for the agreed-upon hours and to notify your supervisor as soon as possible if you are unable to attend or need to reduce your commitment.
  1. Conduct:You agree to follow our policies and procedures, including our Health and Safety Policy, Safeguarding Policy (if applicable), and Confidentiality Policy. You are expected to act in a professional and respectful manner at all times.
  1. Confidentiality:During your time as a volunteer, you may have access to confidential information about our organisation, our clients, or other volunteers. You agree to maintain confidentiality and not to disclose any information without proper authorisation.
  1. Use of Resources:You agree to use our resources responsibly and for the purposes of your volunteer role. You will return any property or materials belonging to us upon the completion of your volunteering activities.
  • Safeguarding:If your volunteer role involves working with vulnerable individuals, including children or the elderly, you agree to follow our Safeguarding Policy and to report any concerns or incidents to your supervisor immediately.

Termination

  1. Termination by Volunteer:You may terminate this Agreement at any time by providing reasonable notice to your supervisor.
  1. Termination by Across Aid Limited:We reserve the right to terminate this Agreement if we believe it is in the best interest of the organisation or the volunteer. Reasons for termination may include, but are not limited to, breaches of our policies, conduct that is harmful to the organisation or its clients, or a lack of available volunteer opportunities.

Dispute Resolution

  1. Addressing Issues:If you have any concerns or issues during your time as a volunteer, we encourage you to raise them with your supervisor. We are committed to resolving any disputes in a fair and constructive manner.
  1. Complaints Procedure:If a dispute cannot be resolved informally, you may follow our formal complaints procedure, which is available upon request.

Changes to the Agreement

This Agreement may be amended or updated by mutual agreement. Any changes will be communicated in writing and require your acknowledgment.

Declaration

By signing this Agreement, you acknowledge that you have read, understood, and agree to the terms and conditions outlined above. You also acknowledge that this Agreement is not a contract of employment.
